Privacy Policy and Terms of Use

1. Information we collect

Information from Google Sign-In. When you choose "Sign in with Google", Google shares your name, email address and profile picture with us. We request only the basic sign-in permissions (openid, email and profile). We do not request or access your Gmail, Google Drive, contacts, calendar or any other Google account data.

Information from LinkedIn Sign-In. When you sign in with LinkedIn, LinkedIn shares your name, email address and profile picture with us.

Email sign-in. If you register with your email address, we send a verification code to that address. If you set a password, it is stored and checked by Google Firebase Authentication. We never see or store your password.

Information you give us when you register or edit your profile:

• Personal details: full name, mobile number, date of birth, gender, residential address (address, district, state, country and PIN code) and profile photo.
• Academic details: course, branch, year of admission and year of passing out.
• Professional details: employment status, company or organisation, designation, industry, work experience, office address, company website and work email; or your startup or higher-studies details.
• Optional links, such as your LinkedIn profile URL.

Event and activity information: registrations for alumni meets and other events, your alumni ID and ID card, and attendance recorded when event staff scan your ID card.

Contribution records: when you contribute to the institute, administrators record the contributor name, amount, transaction ID and date. Payments are not made through this portal, and we do not collect card or bank account details.

Feedback and messages that you send us through the feedback and contact forms.

Technical information: Google reCAPTCHA checks sign-in and form submissions to block automated abuse, and it collects device and browser information under Google's Privacy Policy. Our servers record basic request logs (such as IP address and browser type) for security, and we count site visits.

2. How we use your information

• To create your account, sign you in and keep you signed in.
• To let the Alumni Cell verify that you are an SSGMCE alumnus and approve your registration.
• To run the alumni network: your dashboard, connections, event registrations, alumni ID cards and event attendance.
• To send you service emails, such as verification codes, registration approval and event information.
• To record and acknowledge contributions, and to publish alumni news, newsletters and reports.
• To keep the portal secure and prevent fraud and abuse.
• To prepare statistics about the alumni community (for example, counts by branch or batch) that do not identify individuals.

We do not use your information for advertising, and we do not sell it.

3. How we use Google user data

This section describes the data we receive through Google Sign-In ("Google user data").

• Access: we receive only your name, email address and profile picture from your Google account.
• Use: we use them only to create and identify your alumni account, to verify your email address, to pre-fill your registration form and to show your name and photo on your account.
• Sharing: we do not sell, rent, transfer or disclose Google user data to third parties, except to the service providers that run the portal for us (Section 5) and when the law requires it.
• Protection: Google user data is sent over encrypted connections (HTTPS) and stored in access-controlled systems (Section 6).
• Retention and deletion: we keep it for as long as your account exists, and delete it when your account is deleted (Section 7). You can also remove the portal's access at any time from your Google Account permissions page.

SSGMCE Alumni Connect's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it to data brokers or information resellers, we do not use it to decide credit-worthiness or for lending, and we do not use it to develop, improve or train artificial intelligence or machine learning models.

4. What other people can see

After the Alumni Cell approves your registration, your name, photo, branch, passout year, company and designation may appear on the portal's public pages, such as "Newly Registered Alumni" and "Distinguished Alumni". Contributor names and amounts may appear on the contributions page.

Your mobile number, email address, date of birth and residential address are never shown on public pages. They are visible only to portal administrators, and to event staff only as far as needed to check you in at an event.

5. Who we share information with

• Portal administrators from the SSGMCE Alumni Cell, who review registrations and manage events and contributions.
• Event staff using the portal's attendance app, who see your name, alumni ID and registration status when they scan your ID card.
• Service providers that operate the portal for us and may process data only on our instructions: Google Firebase (sign-in), Google reCAPTCHA (abuse protection), our email delivery provider and our hosting provider.
• Authorities, when the law requires it or to protect the rights and safety of our users and the institute.

We do not share your information with advertisers, data brokers or anyone else for their own marketing.

6. How we protect your information

• All connections to the portal are encrypted with HTTPS (TLS).
• Passwords are handled by Google Firebase Authentication and are never stored by us.
• The administration panel uses separate administrator accounts, and access is limited to Alumni Cell staff who need it.
• Our database and uploaded files are stored on secured servers that are not publicly accessible.

No online service can be perfectly secure. If we learn of a breach that affects your information, we will notify you as required by law.

7. How long we keep information and how to delete it

We keep your account and profile information for as long as your account exists. Event registration and attendance records are kept as part of the history of each event.

You can ask us to delete your account at any time by emailing [email protected] from your registered email address. We will delete your account, profile, photo and the Google user data we hold within 30 days. We may keep contribution records where we are legally required to keep accounts, and remove your name from them where we are not.

When a retention period ends, we delete or anonymise the information.

8. Your choices and rights

• View and update your profile at any time from your dashboard.
• Ask for a copy of your information, a correction or deletion by emailing [email protected].
• Remove the portal's access to your Google account from your Google Account permissions page.
• Unsubscribe from non-essential emails by writing to us.

9. Cookies and browser storage

We use your browser's local storage to keep you signed in and to remember a sign-in that is in progress. Google reCAPTCHA and Google Sign-In may set their own cookies. We do not use advertising or cross-site tracking cookies.

10. Children

The portal is meant for SSGMCE alumni, students and staff, and is not directed at children under 18. We do not knowingly collect information from children.

11. Changes to this policy

We will post any changes on this page and update the "Last updated" date. If we change how we use Google user data, we will tell registered users by email before the change takes effect.

1. Account eligibility and creation

To join the SSGMCE Alumni Connect Portal, you must be a graduate, former student or staff member of SSGMCE Shegaon. You agree that the details you supply during registration are accurate, complete and represent your true identity. Submitting a registration request creates a pending account, which the Alumni Cell reviews before approving.

2. Code of conduct

You agree to interact respectfully and professionally with fellow alumni, students and staff. You will not post offensive, defamatory or inappropriate material, or use the platform for unauthorised commercial promotion, spam or harassment. Administrators may suspend or close accounts that break this code.

3. Privacy

How we handle your information is described in the Privacy Policy above. You are responsible for keeping your login credentials confidential and for telling us about any misuse of your account.

4. Sign-in providers and third-party links

Sign-in uses Google Firebase Authentication, with Google, LinkedIn and email options. The portal links to institutional resources and to members' professional profiles; we are not responsible for the privacy practices of external sites.

5. Changes and disclaimers

SSGMCE Shegaon may change these terms, update portal features or suspend access at any time. The portal is provided "as is". We try to keep information accurate, but we do not guarantee that the directory or posted content is free of errors.
